Hiring An Administrative Assistant/ Receptionist at NES Fircroft

- Job Description :

Reporting Line: The role will report to the Office Manager and has no direct reports.
 
Managing Office Visitors:
- Staying up to date with all visits, creating a security permit for the visitors.
- Liaise with building security team and OSC to grant business visitors the access to our office. 
- Meet & Greets visitors conducting business with the company and signs them in/out. Inform visitors by answering or referring inquiries and get them acquainted with the workplace as necessary.
- Making sure that they are accommodated, are aware of the location of snacks, stationary, meeting rooms and operations team. Assisting visitors with getting set up, assisting with printing and communications, and helping with lunch as needed.
- Have the necessary forms and permissions in place for office equipment and deliverables as required.
- Schedule meetings and book conference rooms and keep record.
- Arrange business lunch and coffee breaks as needed.
- Introduce Chevron employees to the operations team (OSC), and assist with anything they might need, such as, binding documents and sharing local documents as needed.

        
Office Operation Support :
- Maintains front desk SOPs (standard Operating procedures). Keeps a safe and clean reception area by complying with office procedures, rules, and regulations   .          .
- Full responsibility of managing stationary.
- Handling payments related to the office such as the kitchen supplies, IT equipment and other miscellaneous items for employees.
-Making weekly HSE/Maintenance report, checking all the office spaces for problems, making sure that lights and IT are placed and working well and making sure that each office is up to standards.
- Handling reports and requests to the maintenance vendor(s) and reviewing the work done.
- Applying the covid protocol at the office, making sure that sanitizers were installed and are checked regularly and making sure people are following the max. room limits and wearing masks.
- Making security permits on a monthly basis for the vendors and maintenance team, staying up to date with any new or different vendors that might be coming and making permits accordingly.
